Action on Hearing Loss is recruiting a new administration assistant based in the Llanelli office to provide admin support to the Carmarthenshire service.

We are looking for somebody who works well in a team but also has the ability to work independently. To be successful and valued in the role the holder needs to be able to build good working relationships and have good people skills. A talent for being able to prioritise work effectively with good time management and communication skills, both listening and the written word is important. 

The tasks are varied and a working knowledge of Microsoft Office- specifically Word and Excel coupled with good organisational skills would be invaluable to the post. Reliability is key to the post with good attention to both quality and detail. A good telephone manner coupled with an ability to build effective working relationships with local authorities, other parts of the service and supply companies makes the working day much easier. It is important to be able to anticipate potential problems and deal with them before they become more time consuming issues.   If you enjoy working with numbers that would be a bonus as would a good sense of humour.

As an admin assistant you would be supporting the work that is carried out in both the Carmarthenshire Outreach service and also the Supported Living bungalow which is home to three tenants.

Job Description

Overall Purpose of the Role:

  • To deliver administrative support to management and staff of Care and Support services. Adhering at all times to the values and behaviours of the organisation.

Key Accountabilities and Responsibilities:

  • To provide support as required to management and team, including reports, learning plans and other work using word and excel, filing, copying, collating, updating and recording information, note-taking and reports. Archiving.
  • To maintain and update written and computerised records, as required, in line with Action on Hearing Loss policies, procedures and legislative requirements.
  • Use our electronic finance system to produce Purchase Orders and reports and input data, as required.
  •  Take responsibility for the policy files and update them where necessary.
  •  Contribute to meetings from an administrative perspective.
  •  Book interpreters where necessary. Manage the Access to Work process effectively and in a timely fashion.
  •  Manage claims being made through head office for interpreters.
  •  Quality monitoring where needed.
  •  Link person within the office for suppliers
  •  Process weekly returns to the local authorities.
  •  Manage a system of Variable invoicing on a monthly basis- accuracy and an ability to work under tight timelines is key to this responsibility.


Person Specification:

  Essential Desirable
  • Experience of using Microsoft Office (Word and Excel) to an intermediate level.
  • Experience of organising own work, able to plan and manage own time effectively.
  • Experience of note-taking in meetings and proof-reading documents.
  • Experience of residential/supported living/outreach work or equivalent, paid or voluntary.
  • Experience of working with people who have challenging behaviour, mental health disorders, learning disabilities and dual-sensory loss or similar.  
Qualifications / Professional Training  
  • CACDP Level 1 or willingness to learn British Sign Language skills.
Skills / Knowledge
  • Good standard of written English. GCSE level or equivalent.
  • An awareness of deaf issues and the potential impact of these on individuals.
  • Accurate keyboard skills with a strong attention to detail – you will be required to use the computer to enter data, create and produce documents, communicate, access the finance system and so on.
  • Knowledge of person centred approaches and understanding of how this benefits the people who use our services.
  • Good personal organisation skills with the ability to manage and prioritise own workload to meet deadlines.
